Backing up IBM Notes NSF file can help Domino administrators as well as IT managers overcome the fear of losing data due to file corruption, migration failure, or other unexpected events. While there are several methods to back up NSF files, implementing an efficient and effective backup method can play a crucial role in protecting business-critical data. NSF files can be backed up by using the following methods:
Method 1 – Use Lotus Notes Archive
Method 2 – Convert NSF E-mails to PDF
Method 3 – Convert NSF File to Outlook PST
Alternatively, you can also use a specialized NSF to PST converter tool to back up the files.
You can archive Lotus Notes e-mails and other mailbox data locally, on your system, and use it as a backup. Follow these steps for creating Lotus Notes NSF archive folder:
Step 1: Launch IBM Notes
Step 2: From menu bar, click Actions > Archive > Create Criteria
Step 3: In Create Archive Criteria window, give a name to the Archive folder under Descriptive name of these archive criteria. Next, select Enable this criteria checkbox, and then click Selection Criteria.
Step 4: In Archive Selection Criteria window that appears, select the NSF files or folders you want to archive, and click OK.
NOTE: You may also change the default location of the archive file or folder under ‘Copy documents into my archive application here, then clean up the application’ option.
Step 5: In Archive Settings page, click Schedule and specify the archiving schedule and location. Then, click OK.
Step 6: To initiate archiving process, again go to main menu bar and click Actions > Archive > Archive Now
Step 7: When ‘Do you wish to archive now’ message appears, click OK.
NOTE: This method will only work if you have Adobe Acrobat PDFMaker installed on your system.
You can also back up NSF e-mails by converting them in PDF file format and save them on your system. This can be done with the help of Adobe Acrobat PDFMaker. If you’ve Adobe Acrobat PDFMaker downloaded on your system, it automatically appears in IBM Notes. Follow the given steps to convert NSF files to PDF:
Step 1: Open IBM Notes and select the e-mail messages to be converted.
Step 2: Click the Actions tab on main menu, and select Convert Selected Message(s) to Adobe PDF.
NOTE: You may also convert specific NSF folders to Adobe PDF.
Step 3: In Save Adobe PDF File As window, browse the location to save e-mail messages, and then assign a filename for the archived messages.
Step 4: Click Save.
The e-mail messages will be saved on your hard drive as PDF files.
NOTE: Before initiating the conversion process, make sure you have Outlook installed on your machine.
Converting NSF files to PST file format will help you export mailbox data in Outlook. This will serve as a backup when network connection to the IBM Notes server is not available. You can access NSF data in your Outlook application, as and when required. The method to convert NSF to PST file comprises two steps:

NSF archived file, just like any system file, is prone to corruption, which may result in data loss. You cannot convert NSF e-mails to PDF without Adobe Acrobat PDFMaker. To convert NSF File to Outlook PST manually can be time-consuming and involves risk of data loss.
